This is the starting point for creating a DT ScanDoc file. It can be accessed from the button on the toolbar or from DT ScanDoc - scan documents on the Tools menu.

If you have not done so already please read the DT ScanDoc Overview before continuing.

If you already have a TWAIN compliant scanner properly installed and turned on you should now be just a few clicks away from producing a DT ScanDoc file.

It is important that you have both physically installed and connected your scanner, and installed the TWAIN driver software that came with your scanner before you try using DT ScanDoc. If you do not see the name of your scanner where it says Image source or Select scanner, then there is no TWAIN compliant scanner on your computer.

At the top of the dialog the name, client number, and (for T1) the SIN of the client are shown. The DT ScanDoc file that will be created will be attached automatically to this client's file. Check this is the correct client before scanning, and if not, click the Cancel button, select the client from the client list, and then start DT ScanDoc again. Also verify that you are working in the correct year.

Note for T1: DT ScanDoc files are stored in the file of the individual. It is the choice of the user when the scanning takes place whether to attach the DT ScanDoc files to each individual member of a family, or always to the family head; this can be defined in the DT ScanDoc setup section, under the Preferences tab.


  • Enter optional note

    Before you start scanning enter a note in this field. This note will be stored in your client's data with the DT ScanDoc file and is intended to be a description of source of the documents that are being scanned. It will help you to find the correct DT ScanDoc file in your client's data. For example:

    Received by mail from Ms Trudeau, March 17
    Receipts for traveling expenses

    If you need to enter more than one line of notes for this file you can edit the client's data after the DT ScanDoc file is created and add extra Note keywords.


  • Start scanning

    When you have entered the note, insert your document(s) into your scanner and then click the Start scanning button. Your scanner should then start, and in most cases will display a message on your screen saying the scan is under way.

    When the scanner has finished scanning you will be asked if you want to scan more pages to add to the same DT ScanDoc document. If you have more, insert them first and then click the Yes button.

    If you have a scanner with an automatic document feeder (ADF) then you will normally be able to scan all of a batch of documents in a single pass. If you use a flat-bed scanner without an ADF you will need to insert one page at a time until the job is completed.


  • After scanning

    After the documents are scanned they can be indexed and reviewed and the resulting DT ScanDoc file displayed in Adobe Reader or another PDF viewing program. These extra steps are all optional and can be selected from the DT ScanDoc preferences.

    If you have configured DT ScanDoc to password protect the files, you will be prompted to enter the password as the last step before the file is created.

    Once the creation (and optional review) of the DT ScanDoc file is complete the client's data will include the file name and notes as a part of the ScanDoc-File keyword group. This file can be opened at any time by clicking on the icon after the file name. A client can have as many DT ScanDoc files in his or her data as needed.


  • Extra options

    To simplify the process of creating a DT ScanDoc file the Scan dialog defaults to showing just the minimum set of options; if you need to see more click the More options button. Most of the other options are set up by default in the DT ScanDoc preferences. They are included on the Scan dialog to allow them to be easily overridden for just one scanning job when needed. Click the DT ScanDoc preferences button to access the DT ScanDoc preferences and setup and make permanent changes to the way you want DT ScanDoc to work.

    The controls below are only visible when the More options button has been clicked.


  • Select scanner

    If you have more than one TWAIN compliant scanner installed on your computer you can select which one to use from this control. Click the control and then click the required scanner from the list.

    If your scanner does NOT show on the list, then it is either not physically connected to the computer, or the TWAIN scanner software has not been installed.


  • Pick up previously scanned files

    If you need to pick up image files that were scanned to a specific folder using different software, select this option and enter the folder. Please see the DT ScanDoc Overview for more details on this process. In this case the Start scanning button will change to Process scanned images. If the folder contains image files that you do not want to include in this DT ScanDoc file (such as would be the case when it contains scans for multiple clients), then check the box Prompt to select individual files. You will then be shown a list of files in that folder, and be able to select which ones to include.


  • Name of the DT ScanDoc file to create

    DT ScanDoc normally creates unique file names, based on the client's name and client number. If you are already using another document management system, or have some special reason, you can create your own name for the file. The file will still be accessible from the keywords in the client's file, but there may be aspects of integration with DT Max that will be lost. Advanced users can define a template which will create the folder and file name of the DT ScanDoc file based on a number of variables, such as client number, tax year etc. See DT ScanDoc preferences - File naming rules for more information.
